Custom systems

Business software designed around the way your company really works

Sooner or later, almost every company finds that spreadsheets, messengers and disconnected apps can no longer keep up. Orders slip between departments, the same information is typed by hand in several places, and managers wait days for reports that should be one click away. That is the moment to consider a system built for you alone.

At NovaSoft, we don't start with code — we start with your processes. Since 2009 we have delivered 400+ projects, and one lesson has held true: good software mirrors how a business really operates, then removes whatever slows it down.

Our aim is a system that becomes your team's everyday backbone, not one more program people open only because they must. Below, you'll see how the work unfolds, what you receive, where such systems prove their worth and how to decide whether custom is right for you.

Our process

How our software development process works, from idea to rollout

A custom system touches the daily work of many people, so we build it in clear, visible stages. You always know what we are working on, what comes next and which decisions we need from you. Every stage ends with something tangible to review — a document, a prototype or a working module — so by the finish line you know exactly what you are getting. This reduces risk and lets you change direction early if business needs shift.

  1. Discovery and process audit

We talk to future users, map how work flows today and find where time and information get lost.

  2. Architecture and scope

We define modules, user roles and integrations, then agree on a phased plan that puts the most valuable features first.

  3. Prototype and interface

Before coding, you click through an interactive prototype of the key screens and confirm the logic with your team.

  4. Iterative development

The system grows module by module; at regular demos you see working features and adjust priorities.

  5. Data migration and integrations

We carefully move existing records into the new database and connect it to the tools you already use.

  6. Acceptance, launch and training

Before go-live, your key users test the system on real scenarios. We then roll it out, train each group on its own workflows and stay close while your team settles in.

Deliverables

What a custom software project includes: the components we deliver

A finished system is more than a login screen and a few forms. Every project we deliver is a complete, documented product your team can use from day one, with a structure that stays understandable for years. The exact components depend on your needs, but these are the building blocks we put in place most often — tightly connected, so the system works as one whole.

Specification and documentation

A clear specification of modules, roles and business rules before development, and a full description of the architecture plus an administrator's guide at handover.

Role-based access

Every employee sees and edits only what their role requires, from operators to senior management.

Dashboards and reports

Live indicators and exportable reports that turn daily operations into decisions.

Integrations

Connections to your website, accounting software, payment systems, email and messaging channels.

A well-designed database

A structure built around your customers, orders and products, designed for growing data volumes.

Automation rules

Notifications, approvals, reminders and document generation that run automatically, following rules you define.

An interface for every screen

Screens that work on desktop, tablet and phone, keeping field staff and managers connected.

Use cases

Custom ERP and CRM systems across industries

The need for custom software depends less on company size than on how specific your processes are. A small team with a unique workflow can benefit as much as a large enterprise. Below are scenarios where a tailored system brings order to scattered work and adapts to each field's terminology and rhythm. If your case isn't listed, that usually just means it's an especially interesting one.

Retail and distribution

Stock across warehouses and branches, orders, suppliers and pricing — all in one place.

Manufacturing

Production planning, raw material tracking and cost calculation for every order.

Service companies and agencies

Client history, projects, tasks and time tracking for every team member.

Clinics and healthcare

Appointments, patient records and staff schedules with strict access control.

Education and training

Student records, timetables, exams and internal learning materials.

Logistics and field teams

Delivery planning, routes, fleet records and on-site reports filed straight from a phone.

Making the choice

Custom software or an off-the-shelf tool: what your business really needs

Ready-made products suit processes that follow a standard pattern — and when that is your case, we'll say so honestly. Custom development makes sense when the way you work is part of your competitive edge, when you pay for features nobody uses while missing the ones you need, or when your team spends too much time reconciling data between tools by hand. Still unsure? We'll weigh both options together at the first consultation, pros and cons included.

  • Only the features you needNo clutter and no workarounds — every screen serves a real task.
  • One source of truthSales, stock, finance and customer records share the same up-to-date data.
  • Your team's vocabularyFamiliar terms, fields and statuses, with the interface in Georgian, English or another language you need.
  • Control over your dataYou decide where your data lives, who can access it and how it is backed up.
  • Your roadmap, not a vendor'sNew features arrive when your business needs them, not when a vendor decides.

Our approach

Three principles behind every software system we build

More than 15 years of practice have shown us that software projects rarely fail because of technology — they fail because of vague goals, weak communication or systems that cannot adapt as the business changes. We shaped these three principles to reduce exactly those risks, and they guide every decision from the first workshop to the last line of code. They are working habits we follow every day, not slogans.

01

Security by design

Access rights, encrypted connections, activity logs and backups are planned into the architecture from the start, not added after something goes wrong.

02

Transparent collaboration

You have a clear point of contact, see progress regularly and get every technical decision explained in plain, simple language.

03

Built to evolve

A modular structure and clean, documented code let new features be added without rebuilding the parts that already work.

FAQ

Frequently asked questions: Software Development

How much does custom software development cost?
The price depends on the scope rather than a fixed package. The main factors are the number of modules and user roles, the complexity of your business rules, the integrations required, the volume of data to migrate, the interface design and the level of ongoing support. After getting to know your processes, we prepare a detailed estimate. The project can also be split into phases, so we build the most valuable part first and expand the system step by step.
How long does it take to build an ERP or CRM system?
It depends on the size of the system and how quickly decisions can be made together. A focused CRM for one department is a very different project from an ERP that spans several branches. Once the specification is agreed, we give you a realistic timeline broken into stages. Because we work module by module, your team can often start using the first parts of the system before the whole project is finished.
Do we need a finished specification before contacting you?
No. Many clients come to us with a problem rather than a document — and that is perfectly fine. During discovery we study your workflows, talk to the people involved and, together with you, turn your needs into a clear technical specification. If you already have a document, we review it, ask the questions that matter and suggest improvements before development begins.
Can the new system work with our existing tools and data?
In most cases, yes. We connect custom software with websites, accounting programs, payment systems, email and other services through the interfaces they make available. Existing data from spreadsheets or older databases is first reviewed and cleaned, then migrated in controlled steps and checked together with your team. If a legacy tool offers no way to connect, we explain the alternatives and their trade-offs before anything is decided.
How is our business data kept secure?
We plan protection while designing the system, not at the end. Each employee gets only the access their role requires, and when someone leaves the company, their access is easy to revoke. Important changes are logged, so you can always see who changed what and when. We also recommend hosting that suits the nature of your data, set up regular backups and check that they can actually be restored.
